Voice dictation for sales: CRM notes and follow-ups

Voice dictation for sales takes the typing out of the work after the call: the CRM note, the follow-up email and the proposal.

The admin after the call

You finish a good call. The next ten minutes are typing: the CRM note, the recap email, the next steps. It is the work that gets pushed to the end of the day, when you remember less.

With Talkativ, you press Ctrl + Space on Windows, ⌥ Option + Space on a Mac, say what happened, and press it again. A few sentences land in the field, with punctuation and capital letters added. Say the note while it is fresh, and move on.

CRM notes in Salesforce and HubSpot

Click into the notes field, press the shortcut and talk through the call in plain English: who was there, what they care about, the objection, the budget, the timeline and the next step. Talkativ types it at the cursor.

With Advanced formatting on, “firstly, secondly, finally” becomes a numbered list, and amounts such as $4,000, dates and email addresses are written the usual way. That makes a list of next steps easy to scan. It is off by default, and every plan has it.

It works the same way in Gmail, Outlook, Slack and Microsoft Teams, so one habit covers your CRM and your inbox. Nothing needs setting up per tool, and nothing needs connecting to your CRM. Talkativ simply types where your cursor is, so it works with whichever system your company chose.

Follow-up emails sent while the call is fresh

A follow-up is best sent today. Open a reply, press the shortcut and say what you would say on the phone: “Thanks Marcus, great to speak, I’ll send over the proposal tomorrow with the options we discussed.” Read it, adjust it, send it.

It sounds like you, because it is you. Your wording stays, and Talkativ adds the punctuation. For a rewrite, Max includes Genius Mode: highlight a draft and say “make this shorter” or “make this friendlier but keep it firm”.

Vocabulary for prospects and products

Company names, product names and the names of contacts are where dictation slips. Add the ones you use often to Vocabulary, such as a prospect’s company or your own product, and Talkativ listens out for them, so they are more likely to come out right. Vocabulary is on every plan, including Free.

For field and inside sales

Whether you work from a desk or between meetings, it works the same way in every app on Windows: Ctrl+Space, or Option+Space on a Mac. The Mac version works the same way. Read about Talkativ for Mac. The mic dot at the bottom of the screen shows red while it listens, blue while it works, and green when your words have landed. You can click it instead of using the keys.

What it will not do

  • It does not join or record your calls, and it does not summarise a conversation. It types what you say to it.
  • It needs an internet connection and does not work offline.
  • It can mishear names and company terms, so read before sending.
  • Words appear after you stop, not while you speak.
  • You cannot change the shortcut. Click the mic dot if the keys clash.

Questions

We recommend using it straight after a call. Talkativ uses your microphone, which a call app may also be using, and we have not tested dictating on a live call. Try it in a quiet moment first.

It types into any text box, including notes and email fields in Salesforce and HubSpot. Click into the field first, then dictate.

Our privacy policy says voice recordings are processed to turn them into text and are not permanently stored by default, and that your text history is saved to your account. Check your company's rules before you dictate anything sensitive.

Free is 2,200 words a week with no card. Pro is unlimited for $7 a month or $56 a year, if you write more than that each week.
